4. Data Storage and Security

Gmail API

Scopes Requested:

  • gmail.readonly - Read email messages and metadata
  • gmail.labels - View and manage email labels

How We Use This Data:

  • Scan your inbox for emails containing deadline information, compliance notices, and regulatory documents
  • Extract deadline dates, requirements, and obligations from email content
  • Create deadline reminders based on email attachments and body text
  • Organize and categorize deadline-related emails

Data Retention: Email metadata is stored to track processed messages. Email content is analyzed in memory and not permanently stored.

Google Drive API

Scopes Requested:

  • drive.readonly - View files and metadata in your Google Drive
  • drive.file - Access files created or opened by Deadlina

How We Use This Data:

  • Access documents containing deadlines, contracts, compliance reports, and regulatory filings
  • Extract obligation dates and requirements from PDFs, Word documents, and spreadsheets
  • Monitor specific folders for new deadline-related documents
  • Import deadline information from shared team documents

Data Retention: We store file metadata (name, location, modification date) and extracted deadline information. Original file content is not stored on our servers.

Google Calendar API

Scopes Requested:

  • calendar.readonly - View your calendar events and metadata
  • calendar.events - Create, update, and delete calendar events

How We Use This Data:

  • Sync deadline reminders to your Google Calendar
  • Create calendar events for upcoming obligations and compliance dates
  • Read existing calendar events to detect deadline conflicts
  • Update deadline events when obligations are modified or completed

Data Retention: We sync calendar event IDs and basic metadata to maintain synchronization. Detailed event content remains in your Google Calendar.

9.2 Limited Use Policy Compliance

Deadlina's use of Google user data is strictly limited to:

  • Providing and improving user-facing features: We only use your Google data to deliver the deadline intelligence and compliance management features you've explicitly requested
  • No data transfers to third parties: Your Google user data is NOT sold, shared, or transferred to any third parties for advertising, marketing, or unrelated purposes
  • No human access unless required: Your Google data is processed by automated systems. Human access only occurs with your explicit consent or when necessary for security, compliance, or technical support
  • No AI training: Your Google user data is NOT used to train, improve, or develop our AI models or any third-party AI systems
  • Purpose limitation: We access only the data necessary for deadline extraction and management - we do not read unrelated emails, access personal files, or view private calendar events beyond what's needed for our service

9.3 Your Control Over Google Data

You maintain full control over your Google account connection:

  • Disconnect anytime: Revoke Deadlina's access to your Google account from your Account Settings or Google Account permissions page
  • Granular permissions: You choose which Google services (Gmail, Drive, Calendar) to connect - each can be enabled or disabled independently
  • Data deletion: When you disconnect a Google integration, we stop accessing that data immediately and delete processed information according to our retention policy
  • Review permissions: View and manage Google permissions at myaccount.google.com/permissions

10. Other Third-Party Services

In addition to Google services, our platform integrates with:

  • Stripe: Payment processing (governed by Stripe's privacy policy)
  • AWS: Cloud infrastructure and storage (governed by AWS privacy policies)

When you use these integrations, you are subject to the respective third-party privacy policies. We recommend reviewing their policies before connecting services.
